Step‑by‑step instructions
Before starting, ensure you have access to your bank’s CSV or Excel statement file.
1. Navigate to Bank Reconciliation Setup
Go to General Ledger › Bank Reconciliation › Bank Reconciliation Setup.
2. Create a Bank Reconciliation Run
Click Add to create a new reconciliation run.
- Bank Account: Select the bank account you are reconciling. This defaults to your primary bank account. Click the magnifying glass to choose another account.
- Reference: Enter a unique reference for the reconciliation (e.g., May End of Month).
- Date: Enter the date you are reconciling up to.
- Important: No transactions after this date will be included.
- Opening Balance: The closing balance from the previous reconciliation.
- Closing Balance: The closing balance from your bank statement as at the reconciliation date.
Click Save to create the run.
3. Prepare Your Excel Spreadsheet
Profitz creates a view for your company based on the header names from your bank’s CSV file. You must use these exact headers when preparing your Excel file.
Follow these steps:
- Create or update your Excel file using the header names shown in Profitz.
- Your bank may require six headers, but this varies by bank.
- Important: If the header names do not match exactly, Profitz will not recognise the data.
- Spreadsheet Headers and Data should Appear like this.
4. Import the Excel Spreadsheet
Return to Profitz and select the reconciliation run you created.
Click Auto Reconcile
In the new window, click Import from Excel.
- Click Select and choose your Excel file.
- Once the lines load, click Show Import Data.
Click Validate and Import.
Any issues will appear in the Errors column.

Your Excel lines are now imported into the reconciliation run created in step 2.
5. Access Your Bank Reconciliation Run
Navigate to General Ledger › Bank Reconciliation.
- Enter the Reference you created in Step 2.
- Click Get Result.
System lines and imported bank lines will now appear side‑by‑side and can be auto‑matched.
FAQ
What if my Excel file won’t import?
Check that your header names match the Profitz view exactly. Even small differences will prevent import.
Can I re‑import if I made a mistake?
Yes. You can delete the run and create a new one or remove the imported lines and re‑upload.
