Step‑by‑step instructions
Before starting, ensure your stock locations and product codes are set up correctly.
1. Open the Stock Enquiry Screen
Navigate to:
Stock › Stock Enquiry
2. Select a Stock Location
Purchasing Location Code
Choose a stock location from the predefined list.
Example: HO – Head Office Stores
Add or edit stock locations here: Stock › Stock Locations
3. Select a Product
Item Code
Choose a product code from the predefined list.
Example: PR001 – Topsoil
Set up product codes here: PO › Products
4. View Stock Quantities and Values
Qty
Displays the quantity of the selected product at the selected location. Example: 10 (10 cubic metres)
Amount
A calculated field: Qty × Item Code Cost Price
Example: 25.00 × 5 = $125.00
5. Drill Down for More Detail
Any blue hyperlink in the enquiry results can be clicked to view:
- Stock transaction history
- Movement details
- Cost changes
- Adjustments
- Issues and receipts
Use drill‑downs to investigate discrepancies or review historical activity for a stock item.
FAQ
Why is the quantity different from what I expected?
Stock levels update automatically based on GRNs, stock issues, adjustments, and purchase orders. Check the drill‑down history to identify recent movements.
Why is the Amount field not editable?
The Amount is a calculated field based on the product’s cost price. To change it, update the product cost in the product setup.
