Here are some tips and tricks that will make navigating Profitz a breeze:
Folders: These are the menu items that contain the apps – when you click on them, they open to display a list of apps
Apps: These are the things that do the business (the system). When you click on them the app will launch.
When you click on a folder, the menu section you were in will now be replaced by the contents of the folder you clicked on. When I clicked on Enquiries, that folder opened, and I have the sub menu displayed.
Search
As with all accounting system, there’s a lot of buttons to click and information to find. We’ve made finding and accessing what you’re looking for as easy as possible. There’s a simple search box in the top right section of the screen. Simply type a key word in and click on the item to open it.
The different types of items have different icons.
Enquiry Only Apps
Criteria
Each app has criteria. You can use the criteria to quickly restrict the data that displays in the grid. The different types of apps have different criteria available. In this example, we’re looking at the creditor transaction listing.
If you open an app, and the criteria doesn’t display, you can double click on the thick grey bar to show criteria. Conversely, you can also double click on it to hide the criteria.
Grids
Grids are where the data is displayed. Grids are incredibly powerful and the best place to find the information you’re looking for.
The blue items in the grid are drills – you can click on them to open the underlying data. For example, in debtor/customer and creditor/supplier grids, drill on the amount field to open the GL/Cost Allocation for that transaction. This shows the underlying GL entries for that transaction.
Quick Filter
You can quickly filter your data by typing in the column header. The filter will be applied immediately.
Views
The information that is presented in a grid is customizable, and there are many fields available for display on all grids. Profitz is implemented with several standard views that users can between. Click on the view name to see the list of options.
If you want to set the app to open with the same view each time, simply select the view and click the bookmark icon. This will only update for you.
Please Note: All the functionality available in Enquiry Only apps is also available in Enquiry + Maintenance Apps.
Add/Edit Records
There are many apps that produce grid views but can also be used to add/edit data. The presence of the Add/Edit buttons at the top of the screen indicates if an app allows maintenance or not.
We’re going to review edits here. Click on the line in the grid to highlight it, and then you can either click the ‘Edit’ button or double click on the line in the grid to launch the edit screen. The top left of the screen will let you know if you’re adding or editing.
As you make changes, you will see an * added to the save button
If you don’t save, and then click X in the top right to close the screen, you will be prompted to make save your changes, discard your changes, or leave the screen open.
Some information is compulsory – this will be indicated by a red ! on screen if it hasn’t been populated, or has invalid information in it. You won’t be able to save or close until that has been resolved.
Pop Up Screens
When you click to add or edit an item, you will notice that a new screen opens in front of the one you had opened previously. These are pop ups and they can be moved and resized. When you move or resize a pop up, your browser will remember that option. In this case, I’ve resized the creditor account pop up so every time I open it, it will display like this.
If things get a bit messy you can set the pop up size and on screen location back to it’s default. Click on the ? to open the app information – this is where you reset the pop up screen defaults.
There’s a lot of information on this screen so I’m only going to show what’s relevant – in the bottom right corner there are button to clear the layout sizing and the popup sizing. Click these and then close the screen.
