The Format sidebar is a universal tool within Profitz that allows you to apply conditional formatting across any grid in the system.
By setting up rules, you can automatically highlight rows or specific cells based on the data they contain, helping you identify priorities and exceptions at a glance.
Opening the Format Sidebar
To open the formatting options, click the hamburger icon on the left to open the Field Selector. Then use the arrows to cycle through the tabs and select the Format tab on the left side of the data grid. The formatting pane will open, where you can create, edit, or remove rules. Step-by-step instructions are below.
Field Definitions
When creating a new format rule, the following fields are available on the left-hand side of the sidebar. These fields define how the data will look and what logic triggers the change.
Define the visual style
Apply To: Select Row to highlight the entire line or select a specific field name to highlight only that cell.
- Icon: Choose a visual indicator to appear within the row or cell.
- Text Colour: Select the font colour or enter a specific hex code.
- Background Colour: Choose a fill colour for the cell or row background.
- Font / Font Size: Select the typeface and size for the text.
- Bold / Italic: Use these checkboxes to apply extra emphasis to the data.
Set the Selection Criteria
- In the Criteria Section, select the field you want to monitor.
- Select a rule (e.g., equals, is null, is not null).
- Enter the value/word that will trigger the formatting.
- Note: Multiple criteria can be added to a single rule to refine when the formatting appears.
Manage and apply configurations
- Apply: Click Apply to see the changes reflected in your current grid.
- Edit: Select an existing rule from the sidebar to modify its Criteria or style.
- Clear: Click Clear to temporarily remove all active formatting rules from the current grid view.
- Reset: Click Reset to permanently revert the grid to the system default formatting settings.
- Note: Formatting rules are processed in order; you can reorder them in the sidebar to change which rule takes priority.
How to Create a Colour Code Rule
Open the Field Selector: Click the Hamburger Icon on the Lefthand side.
- Click the Arrow to Cycle Round: Click the Format tab on the left of your grid.
Add a New Format: Click the blue (+) button at the top of the pane.
Choose the Scope: In the Apply To dropdown, decide if you want to colour the whole Row or just one Column.
5. Set Your Style:
- Select a Text or Background Colour.
(Optional) Select an Icon for extra visibility.
6. Define the Logic: Under Criteria, select the field you want the system to "watch," choose an operator (like Equals or Is Null), and enter the target value.
7. Apply Changes: Click Apply at the top of the sidebar. The grid will refresh, and your new formatting will be visible.
8. Save View: Click the floppy disk icon to save your current view. This saves the colour coding and formatting for the view you are using. If you do not save the view, the formatting will not appear when the screen is reloaded.
Pro Tips for Profitz Users
- Layering Rules: You can create multiple rules. The system processes them in order; if two rules apply to the same cell, the top-most rule in your list takes priority.
- Identifying Missing Data: A common use for the Format tool is to set the Background Colour to yellow where a required field is null. This makes it easy to spot gaps in your data entry.
- Clearing Formats: If you want to return to the standard view, use the Clear button at the top of the sidebar to remove all active formatting rules.
