GL Enquiry Feature in Profitz

Description: The GL Enquiry screen in Profitz provides an immediate and interactive overview of General Ledger (GL) financial information. It allows users to generate customised reports, filter by division and account levels, and drill into detailed transaction data for deeper financial analysis.

Purpose and Benefits

GL Enquiry is designed to give finance teams and business managers real-time access to General Ledger data. It supports flexible reporting by period, division, and account level, and allows users to:

• Analyse financial performance across business units
• Compare actuals against budget
• Drill into transaction-level detail
• Restrict results to Profit & Loss accounts for focused reporting

This tool is essential for financial oversight, audit preparation, and internal reporting.

How to Access

Key Features

• Period Selection: Choose the financial period to report on. Example: 5.26 refers to the 5th period in the 2026 financial year.
• Division Level: Filter results by division code segment level using the dropdown or More / Less buttons. Example:
  • Level 1: No division filter
  • Level 2: SSE – South East
  • Level 3: SSECOM – South East Commercial
• Account Level Filter results by account code segment level using the dropdown or More / Less buttons. Example:
  • Level 1: 500 – Sales
  • Level 2: 50050 – Sales – Small Works
• Budget Type Select a budget type to include in the report. This enables comparison between actuals and budget or forecast values.
• P&L Accounts Only Tick this option to restrict the report to Profit & Loss accounts only, excluding Balance Sheet accounts.
• Interactive Drill-Down Click any blue hyperlink in the report to view transaction-level detail for that item. This allows you to investigate variances and trace figures back to their source.

Best Practices

• Use Division and Account Levels to control the granularity of your report
• Select P&L Accounts Only when reviewing income and expense performance
• Use hyperlinked drilldowns to investigate anomalies or unexpected results

Limitations

• Reports are limited to posted GL transactions
• Budget data must be entered and maintained separately to appear in the enquiry
• Drill-down is only available for accounts with underlying transactions

FAQ

Can I view both Balance Sheet and P&L accounts? Yes. Leave the P&L Accounts Only option unticked to include all GL accounts.

Why can’t I see any results? Ensure the selected period contains posted transactions and that your division/account filters are not too narrow.

Can I export GL Enquiry results? Yes. Use the export options in the toolbar to download reports in Excel or PDF format.
