1. Understand the Drill Concept
- Purpose: Drilling provides deeper insight into transactions without leaving the enquiry screen. It helps accountants and finance teams quickly trace balances, allocations, and ledger entries.
- Key Rule: Any value displayed in blue text is drillable.
2. Drill into a Transaction ID
- Purpose: A Transaction ID is unique to each debtor or creditor transaction. Drilling into it lets you see the accounting details behind that single transaction.
- Steps:
- Locate a transaction with a blue Transaction ID.
- Click the Transaction ID to open the GL Cost/Allocation Screen.
- Review the detailed General Ledger entries linked to that transaction, including debits, credits, and allocation references.
- Important: This drill is essential for audit trails — it confirms how each transaction is posted in the ledger.
3. Drill into a Batch Number
- Purpose: A Batch Number represents a group of transactions processed together. Drilling into it shows the full list of transactions included in that batch.
- Steps:
- Locate a blue Batch Number in your enquiry screen.
- Click the Batch Number to open the batch details.
- Review all transactions bundled under that batch, such as multiple invoices, payments, or receipts processed together.
