Description
Use the Address and Contacts sections to define the physical job location and the key people associated with the project. This information is used across purchasing, scheduling, invoicing, and communication workflows, ensuring the right materials and messages reach the right place and people.
Step-by-step instructions
1. Enter the Job Address
Use the Address fields to define the physical location of the job.
- Address Line 1 / 2 / 3: Enter the full site address.
- City / Region / Postcode: Enter the geographic details for delivery and scheduling.
- Country: Select the country where the job is located.
- Phone: Enter related Phone Number
- Fax: Enter Related Fax Number
- Email: Enter related Email
- Note: The job address is used for delivery locations, scheduling routes, and reporting.
2. Add Job Contacts
Use the Contacts section to define the people associated with the job.
Add a new contact line:
- Click Add Contact.
- Enter the following fields:
- Name: Enter the contact’s full name.
- Role: Select the contact’s role (e.g., Client Representative, Site Manager, Subcontractor, Invoice Contact).
- Phone / Mobile: Enter contact numbers.
- Email: Enter the contact’s email address.
- Company: Enter the company the contact represents (if applicable).
- Click Save.
Note: If you have no Contact/Person to add into the Name Collum on the line, Use Add Client Contacts button to create a new contact which can be added to line following the above steps.
Why contacts matter:
- Client Representatives receive invoices and project updates.
- Site Managers receive deliveries and coordinate onsite work.
- Subcontractor Contacts are used for claims and communication.
- Invoice Contacts ensure billing goes to the correct person.
Important: Missing or incorrect contacts can cause delays in deliveries, approvals, and communication.
3. Assign Contact Roles (If required)
Some workflows require specific roles to be assigned.
- Primary Contact: The main point of communication.
- Invoice Contact: Used for invoicing and accounts receivable.
- Site Contact: Used for deliveries and scheduling.
Note: Profitz uses these roles to automatically populate fields in purchasing, invoicing, and scheduling modules.
4. Review and Save
Click Save to confirm the address and contact details.
- Note: You can return and update contacts at any time as the project evolves.
FAQ
- Can I add multiple contacts? Yes. Add as many contacts as needed for the job.
- What if the job has no physical address? Enter the closest known location or the client’s address for administrative purposes.
